This policy explains how we collect, use, share, and protect personal information when you use aikiyamhq.com or participate in an Aikiyam hiring engagement. We process personal data in accordance with applicable Indian law, including the Digital Personal Data Protection Act, 2023 (DPDP Act).
1. What we collect
- Enquiry information: name, work email, company, role details, and any message you submit through our forms; mobile number if you choose to provide it.
- Company engagement information: role context captured during hiring-manager kick-off sessions.
- Professional evaluation information (with your consent): professional background, structured work-conversation content, session recordings where explicitly disclosed and consented, evaluation evidence, and consent records.
- Outcome information: interview progression and 30/60/90-day outcome feedback shared under the customer agreement.
- Technical information: basic usage data needed to operate and secure the website.
2. Why we process it
To respond to enquiries; to conduct agreed evaluations and produce Signal Profiles; to support hiring conversations between a candidate and the specific hiring company; to track hiring outcomes under agreed terms; to maintain security; and to improve our evaluation methodology. We process evaluation data on the basis of your consent and, for companies, the performance of our agreement.
3. What we do not do
- We do not sell personal data.
- We do not share a candidate’s information with any company other than the hiring company for the specific role, and we do not use it to solicit candidates for other roles without fresh consent.
- We do not share raw session recordings; the Signal Profile is the deliverable.
- Candidate identity is revealed to the hiring company only with explicit candidate consent.
4. Sharing
We share information only with: (a) the agreed hiring company recipients for the specific role; and (b) service providers who process data on our instructions under contract (such as cloud hosting and AI infrastructure providers). Where third-party AI providers are used to help structure evaluation content, they are contractually restricted from using it for their own purposes.
5. Retention
We retain personal data only as long as necessary for the hiring engagement, agreed outcome tracking, legal requirements, and the continuous improvement of our evaluation methodology, after which it is deleted or anonymised.
6. Your rights
Subject to the DPDP Act and applicable exceptions, you may request access to your personal data, correction of inaccuracies, erasure, or withdrawal of consent. Candidates may request a copy of their Signal Profile at any time. To exercise any right, or to raise a grievance, contact our Grievance Officer: Prathap Narayanan, prathap@aikiyamhq.com. We respond within the timelines prescribed by law.
7. Children
Our services are intended for working professionals and businesses. We do not knowingly process the personal data of anyone under 18.
8. Security
We apply reasonable technical and organisational safeguards appropriate to the sensitivity of professional evaluation data, including access restriction to engagement-specific personnel.
9. Changes
We will post updates to this policy on this page with a revised date. Material changes affecting how evaluation data is used will be notified to affected individuals.
